Tell people
The expectation under UK data protection rules is that callers know recording is happening and why. An announcement at the start of the call, plus a line in your privacy notice, covers the normal case.
Keep only what you need
- Have a stated reason: training, quality, or dispute resolution
- Set a retention period and stick to it
- Restrict who can listen back
- Be ready to handle a request for a copy
- Pause recording when card details are read out
Why bother
The common payoff for small firms is settling 'that's not what we agreed' disputes over quotes and access arrangements, and using real calls to train new staff. If neither applies, don't record — it's data you then have to look after.
